The Town of Polk is seeking an individual to continue their municipal career in a small, but vibrant town in southern Washington County. Polk Town Hall is located on State HWY 60 with convenient access to both HWY 45 and Interstate 41. Candidates should enjoy working in a small, fast paced office environment and interacting with the public.

About the position

RESPONSIBILITES

The Clerk for Polk is an appointed position. Responsibilities include, but are not limited to, the statutory responsibilities of the Town Clerk per WI Statutes 60.33 and per Town Ordinance. The primary responsibilities are:

  • Support the functions of the Town Board including meeting preparation, post/publish notices, minutes, follow up and record keeping.

  • Administer Town Elections

  • Maintain the Town finance book and budget

  • Submit property tax revenue information to County Treasurer

  • Town records management

  • Municipal licensing.

  • Work cooperatively with the Town Treasurer, Zoning/Building Staff, Deputy Clerk/Treasurer, and Public Works staff.

  • Respond to public questions and concerns. Refer public inquiries as necessary to other town departments.


Secondary functions include, but not limited to:

  • Process accounts payable and payroll, payroll taxes, and payroll reports

  • Prepare invoices for professional services reimbursement

  • Prepare and coordinate budget workshops with Town Board and Treasurer

  • Submit finance books annually to the Town’s accounting firm to prepare Form C.

  • Prepare official Town documents

  • File official documents with the County Register of Deeds

  • Apply for annual recycling grant

  • Coordinate annual Town Meeting and Elector’s Meeting.

  • Coordinate and attend annual Town Board of Review meeting.

  • Some supervisory responsibility for the Deputy Clerk.

  • Coordinate the maintenance and purchase of office equipment, office supplies, and postage.

  • Update Town Website.

  • Respond to open records requests.

  • Process daily mail.



WORK HOURS

The hours necessary to fulfill responsibilities are approximately 25 per week which include mandatory Town Hall hours and additional flexible hours with some evening hours required for monthly Town Board Meetings and for Elections.  Town Hall hours are: Monday, Wednesday, and Thursday 7:30AM to Noon. Tuesday 2:30PM to 7:00PM except holidays. Closed Fridays and for the following holidays: New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Eve and Christmas Day.


QUALIFICATIONS

High School Diploma or equivalent. College level or specialized coursework or certification in related fields is desired. Working knowledge of Microsoft Office and Intuit QuickBooks or similar accounting software is required. Previous Municipal experience such as Clerk (or Deputy), Treasurer, Finance, or Public Administrator Assistant, is highly preferred.


COMPENSATION/BENEFITS

Competitive salary with benefits including matching Simple IRA contributions, life insurance.   

  • Annual Salary: $23,400 to $27,300 based on experience

  • Two weeks vacation

  • Three days personal time off
